1. Reservation Confirmation:

At Jossec Tours and Safaris, reservations are accepted on a first-come, first-served basis and are only confirmed once we receive a deposit. To initiate a reservation, clients must provide essential details, including travel dates, number of participants, preferred accommodations, and any special requests. After receiving these details, we will check availability and offer provisional confirmation.

However, please note that a reservation remains tentative until the deposit has been paid. This deposit should be made within 7 days of receiving the confirmation, or the reserved spots may be released to other travelers.

2. Special Requests and Accommodations:

In cases where specific lodges or accommodations are unavailable, Jossec Tours and Safaris will work closely with you to find equivalent alternatives. If these alternatives do not meet your requirements, you will have the option to cancel the reservation without penalty, provided no deposit has been paid yet.

Clients with specific requests such as dietary needs, room preferences, or other customized services are encouraged to communicate these details at the time of reservation.

3. Group Bookings and Tailor-Made Safaris

Planning a safari with friends, family, or colleagues is an exciting adventure, and at Jossec Tours and Safaris, we’re here to make the process as seamless as possible. For group bookings, we recommend getting in touch with us well in advance, especially if you're traveling during peak season. To ensure that you and your group enjoy the very best safari experience, we suggest booking 4 to 8 months ahead to secure your ideal lodges, camps, and activities.

For those seeking a more personalized adventure, we also offer tailor-made safaris, allowing you to design your dream journey from start to finish. Whether it's a honeymoon, a special milestone, or a private wildlife expedition, our expert team will work closely with you to craft a customized itinerary that reflects your unique preferences. After discussing your vision, we’ll provide you with a detailed itinerary and cost breakdown, allowing you to fine-tune every detail before confirming your booking. From luxurious lodges to bespoke wildlife experiences, we ensure your safari is as extraordinary as you envision.

1. Securing Your Safari Adventure:

To confirm your unforgettable safari experience with Jossec Tours and Safaris, a deposit of 30% of the total safari cost is required. This initial deposit secures your spot, allowing us to begin finalizing your travel arrangements, ensuring you’re all set for a seamless and exciting journey. Upon receiving your invoice or reservation confirmation, the deposit should be made within 7 days. For safaris booked less than 60 days from the start date, full payment will be required upon confirmation to guarantee your spot.

The remaining balance of your safari cost is payable upon your arrival, just before the start of your safari. We encourage booking well in advance to avoid any rush and secure your desired safari dates, lodges, and experiences. With full payment completed, you can relax knowing everything is in place for your ultimate safari adventure.

2. Finalizing Your Booking and Travel Documents

Once your payment is complete, we’ll take care of the rest! Your safari booking will be fully confirmed, and we’ll promptly send you everything you need for your adventure: a comprehensive itinerary, accommodation vouchers, park permits, and even a helpful packing list so you're perfectly prepared for your trip. We make sure you're well-equipped and informed, ensuring peace of mind before your safari begins.

We encourage you to review all the details thoroughly—dates, names, and accommodation preferences—so everything is tailored just right. If you notice any discrepancies, let us know immediately, and we’ll be happy to make the necessary adjustments. Remember, Jossec Tours and Safaris strives for perfection, but we rely on your timely feedback to catch any last-minute tweaks.

3. Flexible Booking Changes:

At Jossec Tours and Safaris, we understand that plans can change. If you need to modify your booking after confirmation, we will do our best to accommodate your requests, subject to availability. Whether you wish to extend your safari, adjust the number of travelers, or make changes to your accommodations, we will work with you to make it happen. Changes should be requested in writing, and please note that certain modifications may result in additional fees. We’ll send you an updated invoice if any changes affect the total cost.

Special experiences like balloon safaris or luxury accommodation may have unique terms, but don’t worry—we’ll clearly communicate these details so you’re fully aware of any differences. If you’ve booked through a third-party platform, please take a moment to check their specific terms and conditions as well. We’re here to ensure your journey with Jossec Tours and Safaris is as seamless and enjoyable as possible!

1. Easy and Secure Payment Options:

At Jossec Tours and Safaris, we want to make the payment process as smooth and secure as possible. To cater to a wide range of clients, we accept several payment methods, including bank transfers, credit cards (Visa, Mastercard), and online gateways like PayPal and Pesapal. Our payments are processed in US Dollars unless specified otherwise.

If you choose to pay via bank transfer, please note that any associated bank fees or transaction costs are your responsibility, and the payment will only be marked complete once we receive the full invoiced amount. Rest assured, our system is secure, ensuring your financial details are always protected.

2. Payment Confirmation and Receipts:

Once your payment is processed, we’ll send you a confirmation email with your official receipt and updated booking details. For credit card payments, please ensure the cardholder’s details match the name on the booking to avoid any discrepancies.

If you're managing a group booking or a corporate account, we can arrange specific payment plans to meet your needs. In these cases, we may request additional documentation or guarantees to finalize the booking and payment terms.

3. Timely Payments and Late Fees:

It’s important to keep payments on schedule! Jossec Tours and Safaris operates on a strict timeline, and failure to complete payments by the stated deadlines could result in the cancellation of your booking without notice.

We make every effort to remind clients of upcoming payment deadlines, but ultimately, it’s your responsibility to ensure timely payments. Late payments may result in extra fees or, in unfortunate cases, the release of reserved accommodations or services, so we recommend settling payments promptly.

1. Flexible Cancellation Policy

At Jossec Tours and Safaris, we understand that plans can change. That's why we offer a flexible cancellation policy to give you peace of mind.

  • For cancellations made 60 days or more before your safari, there are zero cancellation charges.
  • If you need to cancel up to 35 days before your trip, only 20% of the total cost is charged.
  • for cancellations made up to 15 days before departure, 40% of the cost applies.
  • cancellations made less than 15 days before the safari result in a 60% charge.
  • cancellations made 3 days or less before the start date will result in 100% cancellation charges.
Rest assured, if unforeseen events like natural disasters or political unrest occur, we offer rescheduling options for your convenience.

2. Refunds and Administrative Fees

If you're eligible for a refund, we'll ensure it is credited to the original payment method, provided the refund is within 6 months of the initial payment.

Please note that a 5% administrative fee will be applied to cover transaction costs in the case of cancellations. For clients who have booked through credit or debit cards, the refund will be processed back to the card originally used.

3. Handling Issues On-Safari

We strive to make every safari perfect, but in the rare event of an issue, we encourage you to immediately notify your tour driver/guide, camp manager, or our tour planning manager via WhatsApp or email. This allows us to address and correct the issue on the spot. If for any reason the issue remains unresolved, kindly send a written complaint within 20 days of your return.

Please note that it’s important to communicate any concerns during your tour, as we cannot take responsibility for issues that were not brought to our attention while you're still on safari.

1. Essential Travel Insurance

As you prepare for your unforgettable journey with Jossec Tours and Safaris, securing comprehensive travel insurance is a crucial step in ensuring your peace of mind. We strongly recommend that every member of your party arranges adequate travel insurance that covers essential aspects such as trip cancellation, medical expenses, emergency travel, personal accidents, and loss of personal belongings.

By taking this important precaution, you can focus on creating lasting memories without worrying about unforeseen circumstances.

2. Your Responsibility, Our Commitment

Please remember that obtaining travel insurance is your responsibility, and it should be arranged at the time of confirming your booking and making your deposit payment. This proactive measure protects you from cancellation fees right from the moment you secure your safari adventure. Jossec Tours and Safaris cannot be held liable for any issues that arise from a lack of insurance coverage, so we encourage you to take this step seriously.

If you’re traveling to East Africa from overseas, kindly provide us with the name of your insurance provider, your policy number, and the emergency contact telephone number for your insurance company. This information is essential for addressing any emergencies while you’re on your journey. It is a condition of your booking that you carry the correct and comprehensive travel and medical insurance throughout your trip.

3. Visa Requirements

When booking your tour with Jossec Tours and Safaris, it's essential to be aware of the visa requirements for each country you plan to visit in East Africa. Travelers generally need to obtain a visa or an Electronic Travel Authorization (ETA) before arriving in their destination. These requirements can vary significantly depending on nationality and specific travel plans, so it’s advisable to check the official government websites for the countries involved.

Applying for a visa well in advance of your travel date is recommended to avoid any last-minute complications. The process can often be completed online, making it convenient to secure your travel authorization. If you need assistance with the application process or have questions about specific requirements, our team is here to help ensure you have a smooth and enjoyable journey. Always ensure you are informed about the latest visa regulations to make your travel experience as hassle-free as possible.
